Rental applications

A public application form per unit, a list to review, approve or decline, and the chosen applicant turned into a tenant with the lease prefilled. Free.

Long-term leases → Applications (and each unit row on the Leases page)

Open applications on a unit and copy its apply link. The link is a public page for that unit: the property and unit summary, the asking rent, and a form for the applicant’s contact details, move-in date, household and pets, current address, employer and monthly income, references, a few questions and optional documents (photo ID, pay stubs; JPEG, PNG or PDF). No account is needed to apply. The form never asks for a Social Security or ID number, and documents are stored privately and shown only to you through short-lived links.

Applications are listed by unit with a status chip: New, Reviewing, Approved, Declined or Withdrawn. Open one to read every answer, see the documents, keep private notes, and decide. Approve and Decline send the applicant an email with your own words; a decline carries no reason unless you write one. You get a bell alert and an email when an application arrives.

Convert to tenant on an approved application creates the tenant from their details, remembers them on the application, and opens New lease at the Terms step with the unit, the tenant, the asking rent and the requested move-in date filled in.

An optional application fee per unit is paid by card on the public page, to your own Stripe account like rent, and is recorded on the application with a receipt emailed to the applicant. The fee field needs online payments set up on the Rent page first. California caps the fee (Civil Code 1950.6, $65.86 in 2026) and requires an itemized receipt and a refund of any part not spent; the fee cannot be charged when no unit is or will soon be available.

Screening reports (credit, eviction, background) are not built in yet. The drawer has a Screening card that says so; meanwhile ask the applicant for their own recent report, or screen through the service you already use and keep the result in your notes.

  1. On the Applications page (or the unit row on the Leases page), press Open applications and set a fee if you charge one.
  2. Copy the apply link and put it on your listing or send it to applicants.
  3. Review each application in the drawer; mark it Reviewing, then Approve or Decline with a note.
  4. On the approved one, press Convert to tenant and finish the lease.
  • Closing applications keeps the link working but the page says the unit is not taking applications.
  • An approved or declined application can be reopened until it is converted; a converted one is final.
  • Applications you have not decided on are not deleted when the unit is leased; mark them Declined or Withdrawn so applicants hear back.
